The challenge
What needed to change
A growing property management business relied on Microsoft 365 to manage communications with landlords, tenants, contractors and solicitors. Staff worked between the office, home and property sites, regularly accessing tenancy agreements, identification documents and financial information. As the business expanded, its security arrangements had become inconsistent. Some accounts lacked multifactor authentication, documents were frequently shared as email attachments, and the business had limited visibility of which devices could access company information. Management wanted stronger protection without making everyday work unnecessarily complicated.
Our approach
How Systemise IT helped
Systemise IT reviewed the Microsoft 365 environment, user access and working practices. Our aim was to identify the most significant risks and agree a practical improvement plan. The proposed work included: Protecting user accounts: Configure multifactor authentication and Conditional Access policies, with a controlled rollout to reduce disruption. Securing company devices: Enrol supported company laptops into Microsoft Intune and apply agreed settings for encryption, updates and endpoint protection. Improving document sharing: Organise SharePoint access around staff responsibilities and introduce clearer controls for sharing documents externally. Strengthening email protection: Review phishing protection and email authentication settings, including SPF, DKIM and DMARC. Managing staff changes: Establish a consistent process for new starters and leavers, including access removal and session revocation. Supporting employees: Provide straightforward guidance on secure sharing, suspicious emails and reporting potential incidents. Where required, Microsoft 365 Business Premium would provide the licensing for the agreed security and device management features.
